Who we are

Urban Utopia Landscapes Ltd is a grounds maintenance company providing the supply of grounds maintenance and landscaping services to residential and commercial clients.

We do all we can to respect your right to privacy and to protect your personal information. This privacy policy explains in detail how we collect and use personal information.

What information do we collect about you?

We collect and process a range of personal information such as name, address and contact details. If you are an employee, or a supplier to Urban Utopia Landscapes Ltd, we will also collect financial information to allow us to make payments to you.

Most information collected will have been provided by you. This can be collected in various ways; when you complete an online enquiry form on our website or contact us via our direct telephone number or email address.

On occasion, your information may be provided to us via a third party for the purposes of Urban Utopia Landscapes Ltd, acting as a sub-contractor, to carry out work requested by you.

How will we use the information we collect?

We will process your information in various ways, which allows us to manage the day-to-day running of our business, including:

  • responding to enquiries and providing/receiving relevant information in relation to the supply of services or products as requested
  • carrying out our obligations arising from any contracts entered into between you and us
  • obtaining/issuing feedback on the services and products provided
  • notifying you of any changes to our services
  • notifying you of any future services which may be of interest to you

Disclosure of your information

Your personal information will be held as confidential by Urban Utopia Landscapes Ltd and will not be shared with any third party without prior notification and consent. By this we mean that should we suggest a third-party organisation be involved in supplying services / delivering materials to you, we will obtain at minimum, your verbal consent to provide your personal information to fulfil our contractual obligations.

If Urban Utopia Landscapes Ltd and all its assets are acquired by a third party, personal information held will be transferred as an asset.

We may also share your personal data to comply with any legal obligation or enforce the upholding of any contractual agreement, or to protect the rights of property or safety of Urban Utopia Landscapes Ltd, its customers and employees.

Under no circumstances do we transfer any of your information overseas.

Data Storage

The information we collect on you is stored at a location in the United Kingdom and is processed by employees of Urban Utopia Landscapes Ltd. Our employees will process your information for the purposes of fulfilling any contractual agreement between you and us, including the processing of any financial obligations.

By providing your personal information, you are agreeing to the storage and processing of your data. We will take all steps reasonably necessary to ensure that your information is treated securely and in accordance with this privacy policy.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your information transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use appropriate procedures and security features to try to prevent unauthorised access.

How long do we keep your information?

We will not keep your information for longer than we need to. This is usually up to seven years after your relationship with Urban Utopia Landscapes Ltd ends, unless we are required to keep it longer for legal obligations (e.g. any investigation by law enforcement agencies).

Once this time-period has lapsed, your personal information will be securely deleted or destroyed.

Your Rights

You have the right to request correction be made to the personal information we hold on you. You also have the right to request that we do not process your personal data for marketing purposes. If you would prefer that we do not use your information in this way, please send an email to info[at] asking to have your details removed from any future promotional mailing lists.

Please note that asking us to do this, will mean we will no longer be able to provide you with information relating to the supply of our services.

Urban Utopia Landscapes Ltd are however obliged to continue to securely store your personal information for a period of 7 years to fulfil audit and legal obligations as detailed above.

Access to your information

In accordance with the Data Protection Act (1998), you have the right to request access to the information held about you. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

Changes to our Privacy Policy

Any changes we may make to our privacy policy in the future will be posted on our website and, where appropriate, you will be notified of this by e-mail.
